The steps below cover everything in this lesson. Follow them in your own Kade, then check yourself at the end.
Before you start
- You are the owner. Only the owner manages users.
- You know your way around Kade (see the Home and finding your way around lesson).
- Have the new person's name, and decide which role fits their job.
Step by step
1. Users & roles
Staff are set up in Administration. Open Users & roles.
2. The users list
Each user shows their role, last sign-in, and whether their PIN is Set or still a Temporary PIN. Two users sharing a username are marked Duplicate.
3. Add a user
To add someone, press Add user. Type their Name and a Username. New users start as Cashier, locking after ten idle minutes.
4. A temporary PIN
Leave the PIN blank and save. Kade gives a temporary PIN, shown only once. They choose their own PIN when they first sign in.
5. Reset or deactivate
Press Done. A user's page also has Reset PIN, for a forgotten PIN, and Deactivate user…, for someone who leaves. Users are never deleted.
6. In the list
Back in the list, the new cashier shows a temporary PIN until they sign in and choose their own.
7. Roles and permissions
Edit roles shows the built-in Owner, Manager and Cashier roles, and what each may do.
Good to know
- Owners and managers also get a password, for signing in to Administration: at least 10 characters for an owner and 8 for a manager.
- Deactivating someone asks for a reason. The business must keep at least one active owner, so the last owner can't be deactivated.
- A user who forgets their PIN is told on the sign-in screen to ask the owner to reset it here.
- Lock after idle minutes can be changed per user; leave it blank to turn auto-lock off.
Try it yourself
- Open Administration › Users & roles and look at each user's role and PIN status.
- Press Add user, enter a name and username, leave the PIN blank, and save. Note the temporary PIN.
- Open Edit roles and check what a Cashier may do.
Recap
Add staff with a temporary PIN, and give each the role that fits their job.
