The steps below cover everything in this lesson. Follow them in your own Kade, then check yourself at the end.
Before you start
- You need a role that may manage price lists: Owner and Manager can, Cashier cannot.
- Do Customers and credit first, so you know the customer record and its Credit tab.
- Have a few items with retail prices in Kade.
Step by step
1. Open the price lists
Go to Sales & Invoicing › Price lists. Each row shows the Price list, who it Applies to, its Rule and how many Items it prices. Retail is always there: it is the Default for all customers and its rule is Item retail price.
2. Know what Retail is
Double-click Retail to open it. It is read-only, because Retail prices are each item's own retail price. To change one, change it on the item.
3. Start a new list
Press Back to list, then New price list. Type a Name, such as "Builders". Under Rule, choose Fixed prices or % off retail. For % off retail, type the Rate, for example 5. A rate must be between 0 and 100.
4. Choose the rounding and save
Rounding tidies prices worked out from a percentage. Pick None, or round to the nearest 1, 5, 10, 50 or 100 of your currency's smallest unit (cents, for example). Press Save. Kade shows "Price list saved", and the list shows as, for example, "Retail −5%".
5. Give some items their own price
Once the list is saved, Item prices appears. Type in Search an item to price and pick the item. Its selling unit is already chosen; pick another unit if you need to. Type the price and press Add price. Each line shows the item's retail price and your margin at today's average cost. Remove takes the price off, and the item sells by the list's rule again.
6. Put a customer on the list
Press Ctrl+K, type the customer's name and press Enter. Open the Credit tab and choose your list in Price level. Press Ctrl+S to save. From now on, the till and quotations and invoices price this customer from the list.
7. Know which price Kade charges
For a customer's list, the first match wins. A fixed price for the item in that unit comes first. Next comes a fixed price for the item's base unit, multiplied up for bigger units. Then the list's % off retail. Last of all, the item's own retail price. A customer with no list pays Retail.
Good to know
- A Fixed prices list only changes the items you priced on it. Every other item sells at its retail price.
- Deactivate asks first: "Deactivate this price list? Its customers buy at retail prices."
- Catalogues use a price list too. You choose it when you build the catalogue.
Try it yourself
- In Sales & Invoicing › Price lists, make a list called "Practice" at 5% off retail, rounded to 10, and save it.
- Add a fixed price for one item on it.
- Put a test customer on "Practice" from the Credit tab, then start a quotation for them and compare that item's price with another item's.
Recap
A price list is either a percentage off retail or a set of fixed prices, and a fixed item price always beats the percentage. Give it to a customer in Price level on the Credit tab, and Kade prices them from it everywhere they buy.
